Cancellation, Rescheduling & Refund Policy
At Eka Mai, we value your commitment to your practice, your participation in our offerings, and your respect for the space. To ensure clarity and fairness, the following cancellation, rescheduling, and refund policies apply to all packages, classes, events, trainings, and studio rentals.
1. Unlimited Class Packages (1, 3, and 6 Months)

Refund Policy:
Before Start Date: Refunds are available within 7 days of purchase and before the package start date. A 10% administrative fee will apply.
After Start Date:
1-Month Package: Non-refundable once the package starts.
3- and 6-Month Packages: If canceled within the first 14 days of the package start date, a refund for the remaining months is possible, minus a 15% processing fee. After 14 days, no refunds will be issued.

Freezing Policy:
• You may freeze your unlimited package once during its validity period:
• Minimum freeze: 7 days
• Maximum freeze: 30 days
• Requests must be made in writing at least 48 hours in advance.

Transferability:
• Packages are non-transferable and cannot be shared with others.
2. Class Pass Packages (1, 5, 10, and 20 Classes)

Expiration Dates:
1 Class: Expires 1 month from the date of purchase.
5 Classes: Expires 2 months from the date of purchase.
10 Classes: Expires 4 months from the date of purchase.
20 Classes: Expires 6 months from the date of purchase.

Refund Policy:
• Refunds are available within 7 days of purchase if no classes have been used. A 10% administrative fee will apply.
• No refunds are available once any class from the package has been used.

Freezing Policy:
• Freezing is not applicable for class pass packages.

Extension Requests:
• Extensions due to medical or special circumstances may be granted on a case-by-case basis. A doctor’s note or relevant documentation is required.

Transferability:
• Class passes are non-transferable and cannot be shared with others.
3. No-Show or Late Cancellation Policy
• To ensure fair use and availability, please cancel any class at least 12 hours in advance.
• For unlimited packages: Frequent no-shows or late cancellations may result in booking restrictions.
• For class pass holders: Failure to cancel within the required timeframe will result in the class being deducted from your pass.
4. Special Considerations
Medical Conditions: If a medical condition prevents you from continuing your package, please provide a doctor’s note. We will offer a pro-rated refund or freeze the package as appropriate.
Exceptional Situations: Requests outside the above terms will be reviewed individually.
5. Refund Policy for other Services

Special Classes, Workshops, Masterclasses, Events, etc.
• Full refund (-4.5% to cover the transaction commissions) available if canceled at least 14 days before the scheduled event.
• 50% refund if canceled less than 14 days in advance.
• No refund available if canceled within 48 hours of the event start time.

Trainings, Events (from 5 to 59 hours long)
• Full refund (-4.5% to cover the transaction commissions) if canceled more than 30 days in advance
• 50% refund if canceled between 14 to 30 days before the session.
No refunds for cancellations less than 14 days before the session.
Transfer: Participants may transfer their spot to another person up to 3 days before the training starts, subject to a transfer fee of AED 250.

Trainings (from 60 hours long)
• Full refund (-4.5% to cover the transaction commissions) if canceled more than 60 days in advance
• 50% refund if canceled between 30 to 60 days before the session.
• No refund for cancellations less than 30 days before the training begins.
Transfer: Participants may transfer their spot to another person up to 14 days before the training starts, subject to a transfer fee of AED 500.
6. Studio Rent

Booking & Payment Policy:
• Studio rental bookings are confirmed only upon full or agreed deposit payment.
• The remaining balance, if applicable, must be paid before the rental start time unless otherwise agreed in writing.

Cancellation & Refund Policy:
• Full refund (-4.5% to cover the transaction commissions) if canceled at least 14 days before the scheduled rental date.
• 50% refund if canceled less than 14 days in advance.
• No refund if canceled within 48 hours of the rental start time.

Rescheduling Policy:
• One rescheduling request may be allowed if submitted at least 7 days before the rental date, subject to studio availability.
• Rescheduling requests made less than 7 days before the booking will be reviewed individually and may incur an administrative fee.

Damage & Responsibility:
• The renter is fully responsible for any damage caused to the studio space, furniture, equipment, or facilities during the rental period.
• Any repair or replacement costs will be charged accordingly.

Use of Space:
• The studio must be used only for the purpose agreed at the time of booking.
• Subletting or transferring the booking to another party is not permitted without prior written approval.
• The renter is responsible for ensuring that all participants and guests follow studio rules and respect the space.

Timing:
• Rental time includes setup and cleanup unless otherwise agreed.
• Overtime use may be charged additionally, subject to availability.

Exceptional Situations:
• Requests outside the above terms will be reviewed individually.
